House Manager, Full Time, Exempt

Salary Range: 50-55K
Location: Stillwater, Minnesota
Reports to: Director of Programs and Services


The purpose of this position is to coordinate the care of four residents living in the foster care home as well as to provide care for the residents. The House Manager will regularly assess the needs of the residents and facility, then communicate those needs to service providers, and/or the Director of Programs and Services to provide optimal care for the residents and stay in compliance with licensing standards.

Essential Job Functions:

  • Communicate regularly, verbally and/or in writing, with clinics, case managers, and other service providers on resident care coordination, including planning and executing annual meetings and all required paperwork.
  • Participates in meetings with the Director of Programs and Services to coordinate care for residents including management of the foster care home and maintaining licensing and compliance requirements as outlined in MN statutes 245 a-d and 9544.
  • In collaboration with the Director of Programs and Services, complete administrative projects/functions as assigned.
  • Ensure an accurate inventory of medications is kept and maintain the security of all controlled substances.
  • Communicate regularly, verbally and/or in writing, with the House Manager and/or the Director of Programs and Services, clinics, case managers, and other service providers on resident care coordination and other issues pertaining to Hope House residents.
  • Coordination and administration of medications for residents; update/print monthly medication administration records.
  • Order medications from the pharmacy and maintain communication with the pharmacy.
  • Review all medication errors and incident reports per the expectations of the policies and procedures of Hope House including expectations outlined in 245D with the Director of Programs and Services.
  • Review and residents’ weekly schedule, including the scheduling of medical and dental appointments and transportation for the residents. Complete and maintain accurate documentation, records, and logs. Ensure all appointments and rides are scheduled.
  • Complete/monitor weekly meal plans, grocery shopping, household, medical, and office supplies needs. Including metro mobility and movie cards.
  • Ensure that shift sheets are up-to-date and completed.
  • Supervise Care Partners. Provide feedback, training, progressive discipline, and complete reviews as needed.
  • Make sure monthly schedules are completed and ensure adequate coverage for the site.
  • Inform Director of Programs and Services of staffing needs and assist in hiring as needed.
  • Responsible for completing the Gift-in-Kind forms and route forms to the Director Fund Development to ensure that proper acknowledgments can be sent.
  • Monitor seasonal grounds upkeep including monitoring repairs and maintenance of the facility. Work directly with contractors to ensure timely repairs occur Including an ongoing list of volunteer projects to be completed.

  • Ensure that all staff is kept up to date through ongoing training on medical and psycho-social information on HIV/AIDS disease, including knowledge of the myriad of co-morbid issues that impact individuals living with HIV/AIDS. Knowledge, Skills, and Abilities:

  • Ability to read, write and speak English sufficiently to communicate pertinent medical and social services to residents and to communicate with management and staff.
  • Have a sensitivity and aptitude for working with individuals who were formally homeless, come from Nursing/Mental Health facilities, and are persons living with HIV/AIDS, mental illness, trauma, physical disabilities, developmental disabilities, traumatic brain injuries, and chemical health problems.
  • Excellent interpersonal communication skills; verbal and written.
  • Must be able to relate professionally with residents, staff, physicians, and case managers.
  • Ability to work respectfully and communicate effectivity with multi-cultural, diverse populations in what can be at times stressful and emotional situations.
  • Ability to maintain professional boundaries and practice self-care in a position that is confronted often with physical illness, mental illness, trauma, and chemical abuse issues.
  • Ability to work independently, exercise good judgment, and pay close attention to detail.
  • Strong knowledge of emergency procedures and can stay calm in stressful situations.
  • Ability to effectively deal with residents and difficult situations.
  • Ability to take and pass the Medication Administration Training.
  • Cognitive ability to dispense medications and controlled substances correctly and safely to residents.
  • Ability to complete and maintain accurate records.
  • Ability to maintain the confidentiality of client information.
  • Knowledge of and the manual dexterity to operate medical equipment safely.
  • Ability to use medical equipment such as glucometers, subcutaneous and intravenous injection devices, lancets, epi-pens, blood pressure cuffs, PD home dialysis (if applicable), wheelchairs, and hospital beds.
  • Sufficient physical strength to perform physical jobs such as lifting/transferring residents without causing injury to self or resident.
  • Ability to work within an interdisciplinary team.
  • Ability to perform jobs such as doing laundry, cooking, and cleaning in a home setting.
  • Ability to use household appliances such as a washer, dryer, stove, etc.


Position Requirements:

  • High School diploma or GED
  • Two years working with 245D
  • One year of leadership experience.
  • One year experience as a Care Partner with Hope House preferred.
  • Must qualify as a designated coordinator


Licenses and/or Certifications:

  • CPR/First Aid Certification required; training provided to obtain certification.
  • Medication Administration Certification required; training provided to obtain certification.
  • Driver’s License, State ID, or passport.
  • Must clear DHS Background/Fingerprint Study.


Working Conditions and Environment:

This position is located at our foster care facility located in Stillwater Minnesota. This position may require travel locally, in-state, and possibly nationally. This position may require extensive physical activity in case there is a need to cover shifts as one staff person might provide direct, physical care for individuals served within the programs supported by Hope House. This position may also include doing laundry, housekeeping, cooking, and lifting/transferring residents. This position requires knowledge of various types of medical equipment, as well as performing more detailed tasks such as medication administration, charting, filing, and copying.
